PHOS Limited (“we”, “us”, “our”) operates THE KONGNER platform, website and related services.
We are committed to protecting personal data in accordance with the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong SAR (“PDPO”).

This Privacy Policy Statement (PPS) describes our general policies and practices on the collection, use, retention, protection, and disclosure of personal data.

2. Scope and Relationship with Other Notices

This PPS applies to all personal data handling across our business operations.
Specific collection situations — for example, when creating a member account or joining an event — are explained in our Personal Information Collection Statement (PICS), which supplements this policy at each data‑collection point.

3. Categories of Personal Data We Hold

We may hold data including, but not limited to:

  • Identification and contact data (e.g. name, email, phone number, social‑media IDs);
  • Membership and activity records;
  • Communication logs (email, messages, enquiries);
  • Website usage logs, IP addresses and technical device information;
  • Anonymised or aggregated analytics data.

The precise data held depends on each interaction with you and the related PICS.

4. Purposes of Maintaining Personal Data

Generally, we collect and use personal data for:

  1. Operating and improving our digital platforms, services and membership system;
  2. Providing content, event management and communications;
  3. Responding to enquiries and feedback;
  4. Statistical analysis, research and performance measurement (on a de‑identified basis);
  5. Providing marketing materials with your consent;
  6. Performing obligations under law or regulations, and preventing misuse or fraud.

5. Data Retention

We retain personal data only for so long as is necessary to fulfil the purpose for which the data was collected, or to satisfy applicable legal, accounting or reporting requirements.
When the retention period expires, data will be securely deleted or anonymised.

6. Data Disclosure and Transfer

We do not sell personal data.
We may share or transfer data only:

  • To service providers or agents who process data on our behalf (e.g. hosting, analytics, communication tools);
  • To lawful authorities when required under applicable legislation or court order;
  • In business restructuring or transfer, to ensure continuity of user services under comparable privacy safeguards.

All such transferees are obliged to handle the data only for purposes consistent with this PPS and to adopt proper security measures.

7. Data Security and Governance

We implement reasonable physical, electronic and managerial safeguards to protect personal data against unauthorised or accidental access, processing, erasure or loss.
Measures include access control, encryption, and staff training on privacy protection.
While we continuously enhance our safeguards, no security system is impenetrable.

8. Data Access and Correction Requests (DAR / DCR)

Under the PDPO, you have legal rights to:

  • Access personal data held by us, and
  • Request correction of inaccurate data.

Requests should be made in writing (email or postal) to our Data Protection Officer (see Section 11).
We may need reasonable identification proof and may charge a nominal administrative fee as permitted by law.

9. Direct Marketing

We will only use your personal data for direct marketing where you have given explicit consent.
You may opt out of receiving promotional communications at any time, without affecting your membership or service access.

10. Use of Cookies and Tracking Technologies

Our website uses cookies and similar tools to:

If there are discrepancies between the English and Chinese versions of this policy, the English version prevails.

我們致力於依照《個人資料（私隱）條例》（香港法例第 486 章）（下稱「《私隱條例》」）保護個人資料。

行使上述權利的要求，須以書面形式（包括電郵或郵寄）向我們的資料保障主任提出。
本公司可能會在符合法例下收取合理的行政費用。

九、直接促銷

除非您已事先給予明確同意，否則我們不會使用您的個人資料作直接促銷用途。
您可隨時要求停止接收推廣資料，而該要求不會影響您繼續使用我們的服務或會員資格。
